The visit date as the reference point
A Karta Polaka case has a property most document work lacks: the deadline is not an abstract “as soon as possible” but a specific day in the consulate’s calendar. By that day the set must be complete – documents proving Polish origin, the applicant’s own certificates, Polish translations. The list for each case is defined by the consulate; we check it against your situation and close the documentary part.

Slowest first: the ancestry documents
The core of the case is proof of Polish origin: ancestors’ birth and marriage records, old certificates, archival extracts. When originals have not survived, repeat documents are issued from the registry books of DRACS offices and state archives – and that step takes the longest, so it starts first. How long the search takes is for the archive to decide – we do not promise it, and we quote our own part of the schedule exactly.
Old records are often handwritten, with old-style dates and place names that have since changed: a translator works through them more slowly than through a standard certificate, and the schedule allows for that. Which of the documents suit your application is for the consulate to decide – we prepare them so their form raises no questions.
What is already in hand: your certificates, one name glossary
The applicant’s own documents translate faster, but this is where the most common small error hides: a surname spelled differently across translations. A consulate set allows no such discrepancies, so one team runs the whole package with a single glossary of names, surnames and place names.
The certification form – notarised or sworn – is set by the consulate itself, and requirements change, so we verify them against the current rules before starting rather than relying on last year’s notes. We produce both formats: notarised translation and sworn (przysięgły) translation by our own translators.
Apostille for Poland: rarer than you would expect
Poland is a Hague Convention member, so when legalisation is needed it is an apostille. But Ukraine and Poland also hold a legal-assistance treaty, and some procedures need no stamp at all – paying for one “just in case” is a waste. Submission day is yours: the consulate is already in town
The final step is personal: the applicant files the application themselves. For Lutsk residents the consulate is in their own city; for Rivne and Ternopil oblasts the trip to Lutsk is the only travel the case requires – and the documents need not travel with you, because the finished set goes by Nova Poshta to your home in advance or to a Lutsk branch, timed to your date.
